Marketing & business automation — Willebroek, Belgium

Automate the busywork between your tools.

I'm Willem, a freelance automation builder. I connect your CRM, email platform and internal systems with n8n and HubSpot, so leads get followed up, data stays clean and nobody re-types the same thing twice.

What I build

Four kinds of work. One goal: fewer manual steps.

Most projects mix these. A lead flow touches your forms, your CRM and your email platform; a reporting job touches three spreadsheets and a Slack channel.

  1. 01

    Marketing automation

Welcome series, abandoned-cart and post-purchase flows, win-back campaigns, lead nurturing and scoring. Segments that update themselves, with consent handled properly.

    HubSpot · ActiveCampaign · Brevo · Klaviyo

  2. 02

    CRM setup and clean-up

HubSpot architecture, merging accounts after a rebrand or acquisition, pipelines and properties that match how you sell, deduplicated imports from old systems and spreadsheets.

HubSpot · Salesforce · Teamleader Focus

  3. 03

    Business process automation

The glue work behind the scenes: lead forms into your CRM, rows into SharePoint, tasks into Teamleader, alerts into Slack. Built in n8n, with error handling so failures get noticed.

    n8n · Outlook · SharePoint · Google Sheets · Slack

  4. 04

    AI-assisted workflows

Reading CVs, invoices or inbound emails and turning them into structured data. Matching, classifying and routing, with validation and human review where the process needs it.

  3. Step 3 of 4

    Test

We run it on real data from your business, fix the edge cases, and only then switch it on.

    Hand over

Documentation, a walkthrough for your team, and optional monitoring and maintenance.

FAQ

Questions I get a lot

Something else? Ask it in the form below.

Do I need new software to automate a process?
Not necessarily. I usually start with the systems you already use and look at how they can work together more effectively. New software only makes sense when the existing setup cannot support the process reliably.
Why n8n instead of Zapier or Make?
n8n is particularly useful when a workflow involves multiple systems, APIs, custom logic or more complex data transformations. Zapier and Make can also be good choices for simpler workflows. I choose the approach based on the process rather than forcing every project into the same platform.
How much does an automation project cost?
Every automation project is different. The cost depends on the scope, complexity, systems involved and how much custom logic is required. After mapping the process and requirements, I provide a clear proposal for the project.
What happens after an automation goes live?
That depends on the project. Some automations only need occasional maintenance, while business-critical workflows may benefit from ongoing monitoring and support. We agree on the right level of follow-up based on how important and complex the automation is.
What kind of business processes can you automate?
Processes that involve repetitive work between people and systems are often good candidates. Examples include processing incoming emails, moving data between tools, creating or updating CRM records, qualifying information, assigning follow-up tasks and preparing communications.
Can you connect tools that do not have a native integration?
Often, yes. I use APIs, webhooks and automation platforms such as n8n to connect systems that were not necessarily designed to work together. The exact approach depends on what each system makes available.
Do you work with HubSpot and Salesforce?
Yes. I build and improve workflows around HubSpot and Salesforce, including CRM structure, data flows, lead routing, Marketing-to-Sales processes and integrations with external systems.
Can AI be part of an automated workflow?
Yes. AI can be useful for clearly defined tasks such as extracting information from documents, classifying requests, analysing unstructured text or preparing a response. I prefer using AI inside controlled workflows rather than letting it run an entire business process unchecked.
What happens if an automation fails?
Good automation should be designed for failure. Depending on the process, that can include validation, retries, error logging, notifications and checkpoints before data is written to another system.
Can you work with personal data under GDPR?
Yes. Personal data stays in EU regions wherever the tools allow it, and I sign a data processing agreement when the project needs one.
Do you work with companies outside Belgium?
Yes. VNCK is based in Willebroek, Belgium, but automation projects can be delivered remotely. On-site collaboration is also possible when it adds value.
